As you will know, the Genereal Data Protection Regulation (GDPR) comes into force on 25th May and we would like to reassure you that we have always and will continue to protect your data. Here’s how:
Contracts: All our clients are asked to sign and return a Contract. Clauses 12, 13 and 14 concern your data and how we will protect it.
Messaging System: We use a messaging system called ‘nCall’ (developed by nSolve) to deliver our messages. Each member of RED’s staff is bound by their Contract of Employment to protect your data. They are forbidden to remove anything from the office. Each employee has a personal login to the nCall messaging system to ensure there is a clear audit trail. Each PC is password protected and has its own Firewall and Antivirus software from EST. All in all I am satisfied that our messaging system security is complete.
Our Telephone System: We use an Avaya telephone system which is protected by a secure router with encrypted access codes.
Our IT: We use Outlook 365 which is fully GDPR compliant. We use Dropbox which is fully GDPR compliant. Online storage of documents means we DO NOT have to store any paper documents or files, apart from our own HR files which are kept in a locked drawer.
We use a CRM system called In-Touch. This is a UK-based company. We use In-Touch ONLY to store your contact details, NOT those of your clients.
Our Premises: Our door is kept locked at all times and a burglar alarm is set at the end of the day.
Opting Out: It’s vital for us to be able to contact our clients on occasions regarding the service. We promise not to bombard you with marketing material.
